Cancellation & Refund Policy

Full payment is required at the time of booking. You can cancel your activity and/or additional extras up to 14 days prior to arrival and receive a full refund. No refunds will be made for cancellations that are made 1–13 days before arrival.

If at any time an unforeseen event causes Arctic Moments Tours to cancel the trip, you will receive a 100% refund.

The aurora borealis is a natural occurrence, so Arctic Moments Tours cannot make any form of guarantee that you will see the lights during our tour.

If you do not see the lights during your time with us and would like to try again, please let us know. We will happily offer you a 50% discount on a new booking if we have availability.

Booking & Participation Terms

• Meeting time: Please arrive on time at the agreed meeting point. Tours depart as scheduled.
• No-show / late arrival: No refunds are provided for no-shows or if guests arrive too late to participate.
• Liability waiver: All participants must sign a waiver of liability before the tour starts. Guests who refuse to sign will not be allowed to participate and will not be entitled to a refund.
• Weather & safety: Tours may be adjusted, rescheduled, or cancelled due to weather, road conditions, or safety concerns. In such cases, we will offer an alternative date (subject to availability) or a full refund.
• Minimum participants: Some tours require a minimum number of participants. If the minimum is not met, we reserve the right to reschedule or cancel with a full refund.
• Itinerary changes: We reserve the right to make minor changes to routes, timing, duration, or activities when necessary to ensure safety and the best possible experience.
• Personal belongings: Guests are responsible for their personal belongings. Arctic Moments Tours is not responsible for loss or damage of personal items.
• Health & fitness: Participation is at your own risk. Please inform us in advance of any medical conditions or special requirements that may affect your ability to join safely.

Cancellation & Refund Policy

We understand that plans can change. Our policy is designed to be fair to you and to us:

• If you cancel and we’re able to fill your spot, you’ll receive a full refund minus a €150 service fee.
• If your spot is not filled, the following applies:
• More than 60 days before start date: refund minus €200 fee
• 30–60 days before: 50% refund
• Less than 30 days before: no refund

Refunds will be issued via the same method as the original payment.

Arctic Moments Tours is not responsible for any travel expenses to or from Narvik. We highly recommend you purchase travel insurance to protect yourself in case of travel delays, missed flights, illness, etc.

• Itinerary changes: We reserve the right to make reasonable changes to the itinerary, accommodation, timing, or activities when necessary for safety, logistics, or quality.
• Personal belongings: Guests are responsible for their personal belongings. Arctic Moments Tours is not responsible for loss or damage of personal items.
• Health & fitness: Participation is at your own risk. Please inform us in advance of any medical conditions or special requirements that may affect your ability to join safely.
• Age requirements: Some activities may have age or physical requirements. Please review the specific tour description or contact us if you are unsure.
